eSocial

What is eSocial?

The digital platform was implemented to ensure that employers report all employee information to the government. This includes a wide range of employee data, such as employment relationships, Social Security contributions, payroll, workplace accidents, and more. All of this information is centralized within the eSocial system.

In general, the aim was to streamline communication between businesses and the federal government. They would have all the information about their employees compiled in a single online database.

However, making all the necessary adjustments for the implementation of eSocial is not considered a simple task. Not all accounting or administrative professionals are capable of handling this requirement effectively.

In this context, it is important for companies that need to comply with eSocial to seek assistance from consulting firms and professionals who specialize in the government platform and its specific requirements. TRACEMED Ocupacional is fully equipped to handle this process.

In short, eSocial applies to all Brazilian companies with employees, including those registered as self-employed individuals or MEIs (Individual Microentrepreneurs).

Objectives of eSocial

The main goal of eSocial is to simplify the reporting of information related to tax, social security, and labor obligations through digital data transmission, thereby reducing administrative burdens.

In addition, participation in eSocial aims to safeguard workers’ rights. It simplifies compliance with obligations and improves the quality and tracking of labor-related information.

eSocial Requirements

Under eSocial, data for a total of 15 labor obligations has been consolidated, and companies are required to comply. You can seek consulting services on the matter or purchase specialized software to populate the platform with this information. Here is a list of the mandatory data that must be entered into eSocial:

FIP – Form for the Payment of FGTS and Social Security Information;
CAGED – General Register of Employed and Unemployed Persons, used to track the hiring and termination of employees under the CLT (Consolidation of Labor Laws);
RAIS – Annual Social Information Report;
LRE – Employee Record Book;
CAT – Work Accident Report;
CD – Notice of Termination;
CTPS – Work and Social Security Card;
PPP – Social Security Professional Profile;
DIRF – Withholding Income Tax Return;
DCTF – Federal Tax Debits and Credits Statement;
QHT – Work Schedule;
MANAD – Regulatory Manual for Digital Files;
Payroll;
GRF – FGTS Payment Form;
GPS – Social Security Form.

eSocial is now mandatory for all companies, regardless of their revenue or number of employees; it is also important to be aware of the employment model for domestic workers.

eSocial is now available to this group of workers as well. Since 2015, tax and FGTS payments have been made through a unified system. Through the eSocial platform, employers can keep their employees’ information up to date in the “eSocial Domestic Employer” module. Thus, information on income tax, social security, workers’ compensation insurance, and FGTS is collected on a single form.

In practice, data is submitted entirely online via the eSocial Empresas platform. It is the employer’s responsibility to periodically submit information on all employees, which must be kept up to date.

In theory, the data stored on the platform was already being collected by companies, but through different platforms. Now, therefore, all labor-related obligations will be reported to the Federal Government exclusively through eSocial Empresas.

Important information

– eSocial does not change any labor or social security laws; what will change is how companies are managed and their corporate culture.

– All companies, in order to fully comply with all Occupational Safety and Health (OSH) requirements, must have the following documents/services:

  • Attorney General;
  • PCMSO;
  • Quantitative environmental assessments;
  • Ergonomic work analysis (EWA);
  • Report on Unhealthy and Hazardous Working Conditions;
  • LTCAT;
  • Risk and hazard analysis (covering potential accident risks in the workplace);
  • Management of all this information using OSH software (ESO).
